Refund Policy

Effective Date: May 12,2025

At Sovereign Wellness Inc., we are committed to delivering compassionate, ethical, and professional counseling services. We aim to create a trusting environment where clients feel safe, respected, and supported. This refund policy reflects our ethical obligations under the ACCT and CPCA Codes of Ethics and is in accordance with British Columbia’s and Canada’s consumer protection guidelines.

1. General Policy

Due to the nature of professional counseling services—which involve the therapist’s time, preparation, and a reserved appointment slot—refunds are not provided for completed sessions.

2. Missed or Cancelled Appointments

  • 48-Hour Notice Required: Clients are required to provide at least 48 hours’ notice to cancel or reschedule an appointment. This allows us to offer the time to another client in need.

  • Late Cancellations or No-Shows: If you miss your appointment or cancel within less than 48 hours of your scheduled session, the full session fee will be charged.

  • Exceptions may be made at the therapist’s discretion in cases of emergency, illness, or extenuating circumstances.

3. Prepaid Sessions or Packages

  • Refunds for Unused Sessions: If you have prepaid for multiple sessions and decide not to continue therapy, a partial refund may be issued for any unused sessions, dependent on the contract guidelines of the package.

  • Sessions already completed are non-refundable.

  • If services are discontinued by Sovereign Wellness Inc. for any reason other than a breach of our policies by the client, a full refund for any unused sessions will be issued.

4. Ethical Considerations

In accordance with the ACCT and CPCA Codes of Ethics, counselors are required to:

  • Ensure transparent communication about fees, cancellations, and policies;

  • Maintain fair and respectful treatment of clients regarding service agreements;

  • Refrain from any practices that could be perceived as exploitative or unethical in terms of financial arrangements.

If at any time a client feels dissatisfied with their therapeutic experience, we welcome respectful feedback and will make every effort to address concerns in alignment with our ethical obligations.

5. Discontinuation of Services

You are free to discontinue services at any time. If therapy is not a good fit or your needs change, we will be happy to provide referrals to another qualified professional, and refund policies for any prepaid, unused sessions will apply as outlined above.

6. How to Request a Refund

Refund requests must be submitted in writing via email to:

  • Your full name

  • Date(s) of the prepaid or missed session(s)

  • Reason for your request

All requests will be reviewed within 5 business days.

7. Modifications to this Policy

We reserve the right to update this refund policy as needed. The most current version will always be available on our website.
